Recently we hosted our 6th annual Faith-Based Finance Collaborative. As part of the event, Tony Choquehuanca, Sales Director Midwest Region at Altec, presented an engaging session on how to meet the demands of the remote workforce.
In January 2020 Tony and his family visited New York City and in a matter of months following that visit, the world changed dramatically. New York City, as well as the rest of the United States closed down and sheltered in place. COVID-19 caused companies to reevaluate how they did business and their processes in the new remote world.
The Future of the Remote Workplace
According to a Gartner June 2020 survey, 82% of companies are going to allow employees to work from home part-time, 47% would allow employees to work from home full-time, and 43% said that they would allow a flexible schedule. Companies are embracing a remote workforce, but what challenges does this present?
The top business needs Altec commonly sees are:
- Remote Document Access
- Tight Security
- AP Automation
- Remote Approvals
- Forms/Document Creation Tool
- AR Invoice with Supporting Docs
- Integration with ERP
- Scalable Solution
- Meet Strategic Growth Initiatives
DocLink addresses those challenges and needs by capturing documents coming into the system (scan, OCR, print capture, etc.), they can push it through a workflow integrating with Sage Intacct, deliver documents (i.e. email, print, fax, FTP), and allows users to retrieve documents easily by the web, mobile app, and/or Sage Intacct.
Benefits of a 100% Paper Free World
Back in 2014, Wired published an article called The Paperless Office: 30-Year Old Pipe-Dream. It presented many challenges we were dealing with at the time to make the shift. In 2020 we were forced by COVID-19 to re-evaluate our dependency on paper and digitally transform our organizations.
As we move further into 2021, that trend is not going away - it is actually amplifying. Remote working means that we aren't tied to our company filing cabinets and thus causes a natural reduction in paper invoices. We are benefiting via cost savings, which allows us to better focus on our strategic initiatives. In his presentation, Tony broke out each category into areas that Altec customers are seeing.
- Cost Savings:
- No more offsite storage for documents
- Reduced square footage
- Limited paper/copier expenses
- Reduced shipping fees
- Time Savings:
- Less time searching
- Reduced filing
- Little to no copying
- Reduced data entry
- Remote Access
- Strategic Initiatives:
- You are able to grow without adding staff
- Possibly avoid late fees
- Have an easier audit process
- Get better compliancy
If you're feeling bogged down by so many paper documents, or having trouble adjusting to a paper free world as we learn to run our business in the new normal, watch Altec's presentation.
